Effectively using the Trial registration type in WrestlingIQ for your lead flow
Some wrestling clubs offer a free—or paid—trial classes for new members. Trial classes are common if you run recurring subscription billing model and often involve a more traditional sales model like you might see at a gym.
Trial classes are uncommon for seasonal wrestling clubs, as it is often better to have a good refund policy and/or offer an 'intro' camp before the season starts to see if people are interested.
This article will show you the recommended setup in WrestlingIQ to run an effective trial and lead funnel. The video above is a great resource if you want to see things visually.
Set up your trial registration
Create a new registration and select 'Trial' as the type. From there, fill out all of the information. We highly recommend you fill out the automated welcome email and automated trial over email.
The payment option form lets you decide how many classes to offer for free. In this case it is set to 1 free class, but you could set it to more than 1 if you offer a free trial week (i.e. >1 trial class).
Use attendance to trigger automated emails when the trial is over and see which trial members you have in attendance before the practice starts
When you use attendance—through the Kiosk or through the logged in calendar list—trial passes will be deducted when a trial wrestler checks in.
The Kiosk will show you a little badge if a trial user checks in; however, we also recommend that the coach take a peek at the logged in calendar list to see the full summary of trial wrestlers in practice right at the top of the attendance list.
Once the wrestler has used all their trial passes the automated email text you created earlier will be emailed to their parent. Here's an example of what that email looks like:
P.S. We recommend that you use roster tags for your free trial roster and sync your free trial roster to your practice events as well.
Running a lightweight lead/sales process in WrestlingIQ
For most clubs, that trial over automated email will take care of most leads. As your club grows more sophisticated and you start having people assigned to follow up with leads, you can use WrestlingIQ rosters + notes on wrestler records as a lightweight lead tracking process.
First, create rosters that represent the next action someone on your staff needs to take
One common mistake people make with lead tracking is to label people as they currently are, rather than the next step that needs to be taken. As an example here are several rosters, with roster tags, that could be used for a sales funnel.
Use the 'View Registrants' screen and the quick roster edit to update lead status
On the registrants screen you can quickly see roster tags and edit rosters for a given wrestler. A smart use of rosters with roster tags can give you a quick visual indication of where a lead is at and what the next steps are.
Use notes on wrestler records to record lead information
If you are making phone calls or need to document additional information, use the notes area on a wrestler record to record coach only information.
