Renewals and Expirations with Expiring Subscriptions
When you set up your subscriptions in WIQ, you can opt to have them expire after a certain number of billing cycles. This is common for situations where you have tier based commitment lengths (i.e. 3 months for $x/month or 12 month commitment for $(x-discount)/month).
This article will cover three sections regarding expiring subscriptions:
- Renewals
- Expirations
- Reporting
Renewals
As an admin, you have two main controls regarding expiring subscriptions:
- The change subscription tier tool is for the case of a parent wanting to upgrade their plan mid way through their cycle (ex. from a 6 month contract to a 12 month contract). This tool will reset the contract mid cycle to the new rate and will adjust the expiration date accordingly.
- The renew button will allow you to renew their subscription at the same tier or a new one. For most cases we recommend allowing the parent to do this themselves.

As a subscription expiration date approaches, WrestlingIQ automatically sends out renewal emails on your behalf. Specifically, WrestlingIQ will send out a renewal reminder email 14 days, 5 days, and 1 day before the subscription expires. Here is an example of a renewal email:

When your customer clicks renew, they'll be taken to a screen that looks like this inside WrestlingIQ. Here they will have the option to renew their membership at the original tier that they had joined under, or change to another tier:

If they elect to renew, their expiration date will be bumped out by the level of commitment they select here. Both the customer and the team will receive emails notifying them of the renewal:
Under the athlete subscription you will be able to see when the subscription is set to expire (automatically updates with renewals), number of renewal events, and records of specific renewal events:

Expirations
If your customer does not renew their subscription, WrestlingIQ will expire their membership. The customer and the team will receive an email that looks like this:

This means they will not be charged anything else, they'll be removed from any rosters that are synced to that registration, and you should stop giving them access to your facility/practices until they sign up again.
If the member wants to sign up again, have them sign up from the beginning like a new member would—their information will be prefilled during the sign up process to make it quick.
Reporting
The Expiring Subscription Report can be used to generate a list of subscriptions whose expiration falls within a chosen date range. This report can also be used to see what subscriptions are coming up for expiration if future dates are used:
