Private Lessons for Assistant Coaches
To complete any of the steps below, have your Coach Admin turn on private lessons for your coaching WIQ account.
As an assistant coach you will:
- Set your coaching bio
- Input your availability for each day of the week
- Complete your lesson, add notes, and check out the client
Your Coach Admin will:
- Enable you to accept and schedule private lessons
- Set your private lesson prices
Step 1. Enabling your coaching account to book Private Lessons
Your coach admin will turn on private lessons for your coaching account. They can do that by following these steps: https://help.wrestlingiq.com/article/228-getting-started-with-private-lessons
Step 2: Setting your coaching bio
Login to WrestlingIQ on a computer or phone browser, these settings are not available in the iOs or Android Apps. Click on Payments —> Private Lessons
Click on Edit bio, status, or photo
Tips for making a great bio: Make it about the wrestlers, not you. Why do you coach? What do you specialize in, what is one success story you a proud of helping a wrestler - focus on a challenge you helped them overcome.
Click on '+ Add Availability' button.
Create private lesson availability on your schedule. Click Create availability to save.
Tip: Use the Notes section to communicate with parents. Some questions you could consider answering in the notes section:
- What should my wrestler bring?
- How early should they arrive?
- Is it drop off only, or can the parent stay and watch the private?
- Where is the wrestling room located?
Using the notes feature will help minimize questions to your inbox later on!
Scan the calendar on the private lesson dashboard to see your private lesson openings that can be booked. Make sure you have the correct rosters selected to be able to book with you.
Now you can send a link to parents to book you for their wrestler, or you can book a wrestler directly to the lesson.
Parents will be able to book their own private lessons (learn more about that process for parents here).
IMPORTANT: The parents/guardians of the wrestler must have an active card on file. The system will require an active form of payment on file even if they are paying in cash. This is in the interest of our coaches and trying to disincentivize lost time and wages on last minute cancellations.
Parents will not be charged until you click "complete private lesson" once the private lesson is completed.
Under the event page you can add wrestlers to the lesson as a coach. Search and select the desired athletes.
On the next page you will need to select the Lesson Type (based on the product offerings associated with that coach) and ensure that there is a card on file for each athlete. This card will not be charged until after the private lesson but is required in the interests of coaches.
Step 3: Completing a Private Lesson
Once the lesson concludes, you will need to manually charge parents by completing the lesson in WIQ. Navigate to the specific private lesson on the main calendar or within the ‘Private Lesson’ sub-tab under calendar. Once you are under the desired lesson select the 'Complete Lesson/Checkout' tab.
In the checkout screen there is a section to add lesson notes. Lesson notes will get automatically sent to the guardians who booked the lesson, in individual messages from the coach account.
Tip: In the Lesson Notes you should include information such as
- 3-5 Things the wrestler did well
- What was covered in the session
- 2-3 Things to improve on/ they need to work next session
- Homework/things to drill this week
You can also choose to apply a discount at checkout then select whether to charge the card on file or indicate that cash was received.
Parents will be emailed a receipt after the coach completes the checkout alerting them that they have been charged for the private lesson. And notes from the lesson will be sent as a DM to the coach, parent, and wrestler.

There are currently no time frame limits to cancelations within the WrestlingIQ software. This is because we anticipate different cancellation policies that vary by team or club.
In the case of a cancellation, coaches still have the ability to charge the card on file. It is recommended that each team creates a cancellation policy that is stored in the documents section of the WIQ software. And is included in the notes section of all private lessons.
