Getting Started With Private Lessons
In this article there is a Private Lessons walkthrough video that shows how to set up private lessons for your team as an admin. Following the video there are step by step written instructions with supporting images.

Setting up Private Lessons
Step 1. Edit Private Lesson Team Settings
Navigate to Team Settings, locate the tab called 'Private Lessons' and select 'Edit private lesson settings'.
Step 2. Configure Team Private Lesson Settings
- Check the 'Enable private lessons' box.
- Modify the minimum notice to book a lesson.
- Select Coach conformation settings
- Save your changes
Step 3. Set up Coach profile(s)
Navigate to the Private Lessons tab under Payments. Choose a coach to start with and select 'Edit Bio, status, or photo'.
Add information about the coach including a photo for their profile, a bio for parents and wrestlers to read, and assign them a coaching role (read more about Admin vs Assistant roles here).
Step 4. Set up Private Lesson Prices
Next, under the coach select 'Edit Prices'.
To create a new pricing model, select '+ Create Private Lesson Product' on the left side of the screen.
Create a new product with a 'Private Lesson' category. Within this product you can add multiple different types of sessions with varying sizes and price per wrestler.
Common structure of pricing we have seen are to create:
- Assistant Coach Private Lessons
- Head Coach Private Lessons
And any other sort of grouping where there may be different price point across varying group sizes. Below is an example of a grouping for assistant coach private lessons. For this assistant coach example there are three different group sizes with varying prices per wrestler.
Pricing and capacity are fully customizable and up to each individual teams or coaches price points.
Back under the 'Edit Prices' tab within the individual coach, select the new product you have made. When it is selected it will move up to the top (above the line). Be sure to select save!
Step 5. Add Coach Availability
Note: Assistant coaches can create their own availability, book kids into their lessons, and checkout their own lessons.
Now that there is a coach set up with bio and prices, you can add their availability to the calendar. Under the Private Lessons tab select the '+ Add Availability' button.
Fill out the fields to configure availability.
Quick Tips:
- If you tag a roster, only parents with wrestlers on those rosters will be able to see and book that lesson. For example, if you only want certain slots to be for the beginner team, tag the applicable roster and only those individuals can sign up for this lesson.
- Use the notes section as a resource to help communicate important information to parents and minimize questions coming to coaches.
Availability will show up on the calendar within the Private Lessons tab. Calendar settings can be configured on the left side. If you need to cancel a session for any reason, select the specific session you want to cancel and an option to cancel the session will appear.
Step 6. Viewing and Adding Wrestlers to Private Lessons
Parents will be able to book their own private lessons (learn more about that process for parents here). Coaches also have the ability to add wrestlers to private lessons as well.
IMPORTANT: The parents/guardians of the wrestler must have an active card on file. The system will require an active form of payment on file even if they are paying in cash. This is in the interest of our coaches and trying to disincentivize late cancellations via cancellation fees.
Parents will not be charged until after the private lesson is completed.
Under the event page you can add wrestlers to the lesson as a coach. Search and select the desired athletes.
On the next page you will need to select the Lesson Type (based on the product offerings associated with that coach) and ensure that there is a card on file for each athlete. This card will not be charged until after the private lesson but is required in the interests of coaches.
Step 7: Completing a Private Lesson
After the completion of the private lesson, coaches will need to manually charge parents by completing the lesson. Navigate to the specific private lesson on the main calendar or within the ‘Private Lesson’ sub-tab under calendar. Once you are under the desired lesson select the 'Complete Lesson/Checkout' tab.
In the checkout screen there is a section to add lesson notes. Lesson notes will get automatically sent to the guardians who booked the lesson, in individual messages from the coach account.
Tip: In the Lesson Notes you can include information such as
- What was covered in the session
- Specific areas of focus
- Things to remember
- Feedback
Example: Today we worked through the front headlock series, with a particular focus on the keys to scoring from that position. Specifically:
- Keep your elbow short so your opponent cant grab it
- Motion, pressure, and snap downs provide openings for easy go behinds
Coaches can also choose to apply a discount at checkout then select whether to charge the card on file or indicate that cash was received.
Parents will be emailed a receipt after the coach completes the checkout alerting them that they have been charged for the private lesson.

There are currently no time frame limits to cancelations within the WrestlingIQ software. This is because we anticipate different cancellation policies that vary by team.
In the case of a cancellation, coaches still have the ability to charge the card on file. It is recommended that each team creates a cancellation policy that is stored in the documents section of the WIQ software.
Final Tips
Private lesson information can be viewed under each individual athlete. Navigate to the Private Lesson tab under the athlete profile to see information.
