Deferred Billing: How It Works &  Best Practices

The “Defer billing until” feature allows you to accept registrations now but delay recurring subscription charges until a future date (for example, your club’s opening day).

When this feature is enabled:

• Members can register immediately.
• Their recurring subscription billing will not begin until the selected date.
• The system automatically calculates expiration dates (if applicable) based on the deferred billing date.

This is especially useful for new club launches, preseason sign-ups, or early registration promotions.

How to create a recurring subscription with deferred billing

Start by navigating to the registrations page and add a new registration.

The deferred billing date will only apply to the Recurring Subscription registration type.

When adding a subscription price, check the box 'Defer billing to a future date?' and select the desired billing start date

Here is how this looks for parents at the time of registration:

Things to know before you use deferred billing

1. The deferred billing feature cannot be used in conjunction with the anchor date feature.

If you want to use both, set up deferred billing first. On your club’s opening day:

• Uncheck the deferred billing option.
• Enable the anchor date checkbox.

This ensures billing aligns correctly once your season officially begins.

2. Deferred billing for expiring subscriptions (ex. 6 month or 12 month subscriptions)

For expiring subscriptions, the expiration date is calculated from the deferred billing date (not the registration date).

3. One-Time Registration Fees Are Charged Immediately

If your plan includes a one-time registration fee, that fee is charged at the time of registration, not at the deferred billing date.

• Example:
  • Registration fee: $50
  • Monthly subscription: $150
  • Deferred billing date: March 1

The $50 registration fee is charged immediately, the $150 monthly billing begins March 1.
